How to use the roster booking calendar
It is easy to book yourself into a shift using our roster booking calendar. See below for a step-by-step guide on how to access the calendar and make bookings.
If you need help to do this, then email us (please include your phone number in the message) and someone will be in touch to help.
If you have a smart phone then you are also encouraged to join our roster WhatsApp messaging group. This is used for more time-sensitive communications. Click here for instructions on how to join WhatsApp.
Step-by-step guide for the roster booking calendar
You cannot access the calendar unless we have added you into it. You will receive a notification email from honourthemaunga@gmail.com to let you know that we have shared the calendar with you (see the example below).
Step 1: Accept the calendar invitation email/s
Open the email and click on the Add This Calendar link, which will enable you to access the calendar. Clicking on the View Your Calendar link (shown at the bottom of the email) will take you into the booking calendar.
Note: If you do not already have a Google account, then you may get an extra email that asks you to subscribe. Simply click on the link in that email to activate it. Then open shared calendar email as per step 1 above.
Can’t see the calendar?
If you are accessing it on a laptop, then take a look at the bottom left-hand side of your screen and make sure the Honour the Maunga box is ticked (as shown in the image on the left).
If you are accessing it on an Android phone then go into the SPlanner app and select the Calendars menu. Make sure the Honour the Maunga calendar box is ticked.
Once you have access to the calendar, here’s how to book yourself into roster shifts…
Step 2: Go into the calendar
Once you are in the calendar, then you can book yourself into your shifts. The calendar shows the current week’s shifts on the right. To book a shift ahead of that week, then click on the desired date in the month view calendar on the left.
Note: Night shifts are 10 pm to 6 am but you are welcome to stay past 6 am and leave when you are ready!
Step 3: Access the shift you want to book on
Select the date that you want to book onto a shift, then double-click on the shift time you want to book in for
Using the overnight shift on Wednesday 12 February as an example, it will take you to a screen that looks like the one shown on the right.
Step 4: Add your name to the shift
Fill in your name in the empty (i.e. Person 1 / Person 2) slot, as shown in the example to the right.
Then click the blue Save button.
Step 5: Confirm the booking
After you click Save, this menu box will pop up – simply click OK.
VERY IMPORTANT: Be sure to leave the “This event” button checked (as shown in the picture). DO NOT select “This and following events” because doing this will wipe out all future slots at that time in the calendar!
Step 6: Check the entry has correctly saved
Check the calendar to be sure that your entry has correctly saved.
You should see your name listed in the roster slot you have just booked – in this case, 10 pm – 6 am Wednesday 12 February.
If you don’t see your name there then it’s most likely because you didn’t click Save after entering your name. If this happens, then go back to Step 3 above.
Step 7: And that’s it. Easy peasy 😊
If you want to book more than one shift, then repeat steps 1- 5 above.
Important: If you need to cancel your shift with less than 12 hours notice, then please either take it upon yourself to find a replacement (Our What’s App roster group is perfect for doing this) or email us as soon as possible to let us know.
NOTE: If you want to take your name off a shift then DO NOT click ‘Delete’ or you will wipe out all future bookings at this time. Simply go back into the shift and replace your name with the words Person One (or Person Two), then click Save.
